Our Committee

Mansfield Choral Society has charitable status and is governed by a constitution in line with the requirements of the Charity Commission and administered by committee. Click on each link below to see the current Committee members and the roles they fulfil.

In addition, many choir members give their time and effort voluntarily in a wide range of ways, including study day catering, rehearsal setup, and a whole host of roles on concert days. All of which is greatly appreciated, and without which we would struggle.
  
The choir could not operate effectively without the work of the Voice Stewards – these members represent each section of the choir, welcoming new members and helping them settle in. They act as the link to the committee and coordinate seating on concert days. 
 
We hold our AGM each October when we elect new committee members. If you would like to get involved speak to a one of us....you don't have to wait until the AGM. 

Chair

What this role does:

Acts as the public face/figurehead of the choir and the main point of contact for people and organisations from outside the choir.

Leads / runs committee meetings and exercises a casting vote when necessary.  

Leads and runs the choir AGM.  

Communicates with and manages the Musical Director.  

The voice and PR contact for the choir.  

Communicates committee news, rehearsal, concert, and general information to the choir.  

A co-signatory for the choir bank account.  

Organises choir study day events.  

Liaises with the music committee in planning the choir concert programme.  

Works closely with the Publicity Officer in promoting the choir in the community and for specific events/concerts.

What this role does:

Manages the financial health of Society  

Prepares Accounts & presents to Society at AGM  

Charities commission responsibilities including submitting accounts for audit at appropriate times  

Pays all bills as agreed by committee  

Manages subscriptions  

Gift Aid – Maintain records & claim   

Budget Preparation  

Attend Music Committee for Budgeting purposes

Secretary

What this role does: 

Prepare AGM/Agenda details and circulate to choir membership three weeks prior to AGM along with Secretary’s Report  

Keep membership details  

Prepare registers of attendance at rehearsals/study days every Term  

Prepare Information Sheets  

Deal with all official correspondence  

Deal with enquiries via website  

Deal with pastoral care  

Liaise with Rehearsal venue, currently St Peters Community Centre  

Offer support to other committee members

Concert Secretary

Position Vacant   

What this role does:

Works with MD / music committee to plan music for concerts.  

Contact venues – view / book venue.  

Works with relevant people from other choirs for joint concerts.  

Liaises with MD to ascertain number of musicians / soloists and concert running order.  

Source / contact musicians / soloists.  

Liaises with producers of posters / flyers / programmes – source photos / biographies of musicians / soloists.  

Works with the person responsible for the venue (e.g., caretaker) to organise staging, seating, timing, etc.  

Ensures soloists & musicians have all the information they need and ascertain / organise their requirements.  

Organises volunteers to help on concert day (e.g., programme sales).  

Allocates seating to voice sections and liaises with voice stewards.  

Organises concert day – rehearsal timing, etc. Ensure all participants have the necessary information.  

Applies for any Events Licences which are needed.  

Liaises with Social Secretary – refreshments & gifts.  

Liaises with Treasurer so cheques are available when needed.

Librarian

What this role does:

Following Music Committee meeting, the Librarian orders & obtains music for the next concert whether hiring or buying

Puts out lists at practice as soon as possible for members to ‘hire’, ‘have got’, or ‘buy’ music.  

Prepares section lists of all members.  

On the first night of term, arrives early with the music, a list of members, and distributes the ordered music.  This process continues for a couple of weeks, by which time most music will have been distributed.  

On Concert Night:

Takes enough crates for the return of the music from members (usually 95% is returned on the night).  

Sorts out the music for return to the Library as soon as possible, to track missing copies.  

If music is missing, contacts members immediately, as all music must be returned within a few days.

Returns hired music to source

Minutes Secretary

What this role does:

Takes all actions at all meetings and circulates them to the committee members.  

Arranges agendas and circulates them in advance of committee meetings with pre-reading materials.

Fran Seller

Publicity

What this role does:

Promotes the choir and acts as the public-facing contact for publicity.  

Manages and organises concert publicity, including media, posters, and flyers.  

Designs copy for publicity materials.  

Designs publicity campaigns, utilising and organising choir members to assist.  

Manage local authority messages.  

Be the focus and approver of website content.
